Rentals are based on availability and are subject to approval. Reservations are only secured with a 100% non-refundable, non-transferable deposit. Full payment must be received one full week (7 days) prior to the event. We accept debit/credit, cash, or as payment. A credit card on file is required as a deposit for damage fees.
YMCA partners acting as hosts of an event will receive a 50% discount on room rental rates.
As a Community Partner, you are eligible to sponsor one complimentary meeting per quarter that is not longer than 2 hours in length. This is our way of saying THANK YOU for being part of our community!
Q: What is included in the price of the rental fee?
A: The community room with tables and chairs, restrooms, & ample parking are included. Limited access to the kitchen is also included.
Q: How do I secure my date?
A: With a 100% deposit.
Q: How far in advance should I reserve space?
A: Book your space as soon as you know you want it! A payment in the full amount is the only thing that secures your spot.
Q: Can we use the pool/other parts of the gym while we are there?
A: If an individual is a member, they may use any amenities at the Brooks Family YMCA. Non-Members must purchase a Day Pass ($10) for access to other areas of the YMCA.
Q: Can I decorate?
A: Table and free-standing decorations only. Items may not be taped, nailed, tacked, or otherwise attached to any interior or exterior part of the building. No birdseed, rice, confetti or glitter please - no exceptions!
Q: Can I use the kitchen?
A: Kitchen access is limited to use with pre-prepared trays only. Food must be prepared offsite. Use of the kitchen is limited to sinks, countertops, and wastebaskets. Use of the refrigerator, freezer, dishes, pots, pans, and dishwasher is not permitted. Ice is not provided.
Q: Is A/V included?
A: Use of additional A/V is complimentary and is determined by specific needs, and will be facilitated by staff. Only HDMI hook-up is provided. All A/V users must schedule an appointment to troubleshoot at least a week in advance.
Q: What results in a damage fee?
A: If your event produces carpet stains, damage to A/V equipment, damage to walls, or any other neglect that requires professional cleaning/replacement.
