Beginning in Fall 2026, the Piedmont Family YMCA is piloting an Inclusion Program for After School Care at Jackson-Via and Tall Oaks Elementary Schools.


Program Goal

It is the goal of the After School Program for all students to have a safe and enjoyable experience. To achieve this, students must meet the participation criteria outlined below.


Participation Criteria

To be eligible for the Inclusion Program, students must be able to:

  • Communicate basic needs and follow simple directions (with or without assistance).
  • Engage in scheduled activities most of the time.
  • Manage personal care independently — staff can provide verbal cues or visual aids, but cannot directly assist participants in using the restroom or reclothing after bathroom use.
  • Eat independently — staff can assist with cutting food and monitoring allergy needs, but cannot assist with direct feeding or feeding tubes.
  • Manage their own behaviors with minimal staff intervention. Sensory areas will be provided, and staff can follow individual behavior plans.
  • Have a desire to participate in programming. Staff will provide adaptations and modifications to meet a wide range of abilities.

Please note: As a recreational, community-based program, we are unable to accommodate students who have a consistent tendency to elope, exhibit aggressive behaviors, or require 1:1 personal care assistance. Inclusion Counselors do not serve as 1:1 aides, but the YMCA will provide reasonable accommodations as requested.


Reasonable Accommodations

Reasonable accommodations are offered to support each student's participation while keeping the program's purpose intact.

Examples of accommodations may include:

  • Visual supports (picture schedules, cue cards, social stories)
  • Staff training to promote understanding and inclusion
  • Adaptive equipment or supplies to support participation
  • Activity modifications (small changes to rules or teaching style that do not change the purpose)
  • Individualized strategies for success (e.g., sensory breaks or visual cues)

What is not included:

  • Separate or alternate activities for most of the program time
  • Exceptions to safety rules or behavior expectations (including elopement, harm to self or others, aggression, or property destruction)
  • Therapy or medical services
  • Personal care assistance

All students are required to meet the minimum participation guidelines and behavior expectations of the program.


How to Apply

To determine whether Inclusion Services are appropriate for your student, please complete the YMCA Inclusion Assessment Form below. Once submitted, staff from our Adaptive Programs Department will contact you to discuss your student's needs and determine the most reasonable accommodations.

Weekly Rate

We provide financial assistance for families in our After School program through our sliding-scale fees. All fees except the highest level are subsidized by the YMCA.

  • A non-refundable fee of $25 per child will be due at registration.
  • There is a 10% sibling discount on the weekly rate.

Virginia DSS Child Care Assistance

All our licensed child care programs, including YMCA After School, accept Virginia DSS Child Care Assistance aimed at helping parents who qualify to afford child care. If your annual household income is less than $60,000, you qualify for free or reduced childcare. Other families may qualify depending on family size.

REGISTRATION


Registration for 2026-27 After School is open. Spots are filled on a first-come, first-served basis so please register your child as soon as possible. PLEASE NOTE: Paperwork must be complete in CampDoc and reviewed/approved by YMCA staff before the student attends After School.

PLEASE NOTE: In this first step, our system will automatically show top-tier pricing when you check out. Don't worry! Our staff will adjust your fees to the correct tier at a later time. 


STEP 2: CAMPDOC

After you register online, you will receive an email from CampDoc.com to complete the child's participant profile. The student's CampDoc profile must be 100% complete and reviewed/approved by YMCA staff before the student can attend After School.

  • You will have to upload scans/photos of:
    • birth certificate 
    • physical and immunization forms signed by a physician (these do not have to be recent)
  • If your child has daily medication or rescue medication needed during the program, you will need:
  • Even if you have attended a Y program before, you must still log in to your CampDoc account and update your information.

STEP 3: STAFF REVIEW

After the student's CampDoc profile is 100% complete, a YMCA Site Director will review the uploaded documents and reach out to the parent or guardian to set an appropriate start date in the Y After School program.
